Congress Coordinator

The position is for 32-40 hours a week.

What do we offer?

As a Congress Coordinator, you will find that the variety of tasks keeps your work engaging and exciting. One moment, you will be working on the scientific programme of the Annual Congress, the next, you will be assigned to the tasks of organising smaller events such as coordinating social dinners and managing logistical aspects with the venue. In between, you will also organise a number of webinars.

Collaborating with various departments, you will have ownership of your assigned projects, ensuring their success and contributing to the overall success of the organisation. Under the guidance provided, you will have the autonomy to manage your tasks independently, fostering an environment where your creativity and organisational skills can thrive.

Responsibilities

Scientific Programme Coordination: Contribute to the planning and execution of the four-day Annual Congress scientific programme, working closely with two other coordinators. Take charge of specific sessions, handling everything from contacting experts to managing logistical needs. Ensure smooth and continuous communication with stakeholders.

Collaborative teamwork: Work seamlessly with other departments to ensure the smooth execution of projects. Collaborate with fellow coordinators and project managers to deliver high-quality outcomes.

Autonomous task management: Manage your assigned tasks independently under guidance, showcasing your ability to handle responsibilities with efficiency and precision.

For smaller events, adapting to a new set of responsibilities and tasks. Ensure the successful organisation of these events in alignment with organisational goals.

Your profile

  • You have relevant experience and/or education in hospitality or event planning
  • You have an interest in medical science
  • You are hands-on, problem-solving and have a can-do mentality, but you also see the bigger picture
  • You like to work with deadlines and you perform well under pressure, but you also know how to dedicate time to your personal well-being and have fun with your colleagues
  • You want to develop yourself and you can communicate clearly and openly with your colleagues about what you need
  • Your English (verbal and written) is excellent
  • You are experienced in working with Microsoft Office applications (Excel, PPT), and are quick to settle into other systems (i.e. content management system (CMS)
  • You like to travel (approx. 2-7 times a year within Europe)

What do we offer

The salary range for this position is €3000 – €4000 gross a month, depending on your relevant experience. We have partnered with OpenUp to support your mental well-being, and we organise a health check every two years. We have an excellent pension arrangement with only a modest employee contribution. Additionally, you will receive 25 vacation days, a commuting allowance, working-from-home compensation, a laptop, and a company phone (or an allowance for the use of your own mobile phone).
